This notice covers the SmoothEMR marketing website and beta waiting list.

What we collect

We store the email address you provide, your practice name if you choose to add it, your agreement to receive updates, and the date of your signup. This form is for business contacts, not patients. Do not submit medical records or other health information.

How we use it

We use these details to manage interest in SmoothEMR and contact you about beta access and launch updates. Joining does not create a clinical account, enroll you in a paid plan or guarantee access.

Where it goes

Waitlist details are stored on SmoothEMR’s AWS-hosted server, separately from the clinical trial application. The list is not publicly accessible. This site does not use advertising trackers, analytics cookies or third-party form services.

Retention and removal

Waitlist entries expire after 12 months unless you sign up again. You can remove your entry sooner using the private removal link shown after signup. Save that link and keep it private. Future email updates will include a way to stop receiving them.

Technical information

The service uses temporary request counts to limit spam. Form contents and email addresses are not written to application request logs. Hosting systems may process technical connection information to deliver and protect the website.

Your choice

Only the email address and agreement to updates are required; the practice name is optional. You may browse the site without joining the list.
